Crèche fee statements: what to send parents and what it should show

A crèche fee statement is a dated list of what a family has been charged and what they have paid, ending in the balance they still owe. It is not an invoice and not a receipt. An invoice asks for one amount; a statement shows the whole history, which is what settles a disagreement about whether a payment was ever received.

Why a parent needs one

Three reasons, in the order they actually come up:

  1. They do not know they are behind. Especially where a part-payment was made and everyone assumed it cleared the month.
  2. Someone else pays. A grandparent, an employer, a social worker. The person paying often has no idea what is outstanding.
  3. They need it for something. A tax matter, a maintenance arrangement, a bursary application, a transfer to another centre.

Record charges and payments as separate entries and let the balance be calculated, never typed. A balance that a person keys in is a balance that drifts.

How often should statements go out?

Monthly, on a predictable date, to everyone — not only to families in arrears. A statement that only ever arrives when there is a problem reads as an accusation. One that arrives every month reads as admin, which is what you want, and it means the arrears conversation starts from a document both sides have already seen.

Does sending a statement get the fee paid?

No. A statement removes the excuses — the wrong amount, the forgotten payment, the disputed history — but it does not make anyone pay. It makes the position clear and shared, which is a precondition for collecting, not a substitute for it.

What is the difference between an invoice and a statement?

An invoice is a request for one specific amount. A statement is the running history — every charge, every payment, and where the account stands now.

Should the statement show the whole year or just the month?

Show enough history for the balance to make sense. If a family is three months behind, a one-month statement makes the closing balance look arbitrary.

Can I send statements on WhatsApp?

Many centres do, and parents read them. Send the statement as a document rather than typing the amount into a message, so what the parent sees matches what your records say. Be mindful that it contains the family's financial information — send it to the account holder, not to a class group.

What if the parent says they paid?

Ask for the date and the amount, then look for it among unallocated deposits. Payments that arrived with an unrecognisable reference are the usual answer, which is why holding them unallocated rather than guessing matters.
